EXPORT REVENUE ASSURANCE

Find where export value leaks. Put the controls in place to stop recurrence.

RB Altruistic follows selected export transactions from quotation through collection to identify recurring exceptions, quantify their historical impact where the records support it, and determine the process, data and control failures behind them.

Where improvement is justified, we can then help design and implement the data foundations, workflows and management controls required to reduce recurrence, and pilot appropriate automation or supervised AI where the operating evidence supports it.

One export transaction. Six connected stages.

  1. Quote
  2. Order
  3. Document
  4. Move
  5. Bill
  6. Collect

Revenue leakage rarely belongs to one department. A pricing assumption can change during order acceptance. A document inconsistency can delay clearance. A logistics exception can reduce margin. A collection delay can increase working-capital cost.

RB examines the transaction as one connected commercial process rather than a series of isolated tasks.

P·1

Export Revenue Leakage Audit

Selected export transactions are followed from quotation through collection. We compare what was expected with what actually occurred, identify recurring exceptions, quantify measurable historical impact where the evidence allows, and trace the likely operational causes.

The audit creates an evidence-based starting point for deciding what should be corrected, controlled, automated or monitored.

WHAT WE EXAMINE

Commercial and margin leakage
Quotation assumptions, discounts, price changes, freight, foreign-exchange inputs and quoted-versus-actual margin.
Documentation and origin leakage
Inconsistent information, missing evidence, ownership gaps, missed deadlines and records supporting a commercial benefit or preferential treatment the business is already seeking to claim.
Logistics cost leakage
Freight and accessorial variance, storage, recurring logistics exceptions and other avoidable cost patterns.
Demurrage and detention
Charges traced through free time, documentation, clearance, handoffs, equipment availability and return events to identify recurring causes.
Benefits and incentive leakage
Missed evidence, deadlines, ownership and follow-up affecting benefits the business is already pursuing.
Collections and working-capital drag
Invoice delays, disputed information, overdue payments, follow-up gaps and the time between shipment, billing and collection.
Data and control leakage
Missing fields, duplicate records, disconnected systems, unclear ownership and controls that operate too late or not at all.

WHAT THE CLIENT RECEIVES

  • A transaction-level leakage register
  • Evidence-backed impact calculations where the records permit
  • Root-cause and recurring-exception analysis
  • A prioritized improvement roadmap
  • Recommended controls, data requirements and technology opportunities

P·2

Export Data Foundation

Export information is often divided across ERP, CRM, accounting software, spreadsheets, email, shipping documents and third-party records. Before reliable automation or AI can be introduced, those records need a common structure.

RB maps the relevant sources, standardises important fields and connects records around the same customer, quotation, order, shipment, invoice and collection.

What we can help establish

  • A map of relevant data sources and system owners
  • Standard definitions for customers, products, orders, shipments, costs and collections
  • Consistent dates, currencies, quantities, units and document references
  • Rules for identifying incomplete, inconsistent or duplicate information
  • A connected transaction record across commercial and operational stages
  • Appropriate access, ownership and data-quality responsibilities
  • Requirements for integration with existing business systems

What this enables

A dependable data foundation supports comparison of expected and actual outcomes, more credible management reporting and controlled automation without relying on disconnected spreadsheets.

P·3

Export Revenue Control Tower

Where an engagement identifies a need for ongoing visibility, RB can help design a scoped management view across quotations, orders, documentation, shipments, invoices and collections. The objective is not to create another reporting dashboard. It is to make material exceptions visible, assign responsibility and support timely action.

A scoped control-tower implementation may monitor

  • Orders falling below an approved margin threshold
  • Purchase orders that do not match approved quotations
  • Missing or inconsistent document information
  • Shipment milestones approaching a critical deadline
  • Freight, storage and accessorial cost variance
  • Demurrage and detention exposure
  • Benefits or claims at risk because evidence or action is missing
  • Invoices not raised or payments not collected on time
  • Tasks waiting for review or approval
  • Estimated value currently exposed to an unresolved exception

Depending on the client’s systems and scope, an implementation may include

  • Management dashboards
  • Exception alerts
  • Assigned actions and escalation paths
  • Human approval workflows
  • Role-based access
  • Audit history
  • Financial-impact and resolution tracking

Control-tower implementations are scoped to the client’s available systems, records and priorities. Where system integration is not immediately practical, RB can begin with a controlled pilot using agreed data inputs.

P·4

Export Process Automation

Once the leakage and its causes are understood, RB can help convert selected controls into practical workflows. Automation is introduced where the rule is clear, the data is reliable and responsibility remains visible.

Potential implementations

Quotation controls
Approved pricing, minimum-margin checks, validity tracking and discount approval.
Order controls
Quotation-versus-purchase-order comparison across price, quantity, terms and delivery requirements.
Documentation controls
Field extraction, completeness checks, cross-document comparison and human review queues.
Logistics controls
Milestone reminders, exception tracking and quoted-versus-actual freight comparison.
Billing and collection controls
Invoice triggers, due-date monitoring, internal reminders and escalation of overdue accounts.
Benefit tracking
Evidence checklists, deadline monitoring, ownership and status visibility for benefits the exporter is already seeking.
Management controls
Assigned actions, approval records, exception aging and closure evidence.

Where technically and contractually feasible, workflows may be connected to client systems through available interfaces or agreed data exchanges. Implementation begins only after the required access, data quality, approval authority and safety boundaries have been agreed.

P·5

Supervised AI for Export Operations

Where a suitable use case has been validated, RB can help design and pilot carefully bounded AI assistance for document-heavy or repetitive work. AI is used to support employees—not to replace accountable financial, banking, customs, legal or compliance decisions.

Suitable use cases

  • Reading buyer enquiries and extracting requirements
  • Preparing a quotation draft from approved information
  • Extracting fields from purchase orders, invoices, packing lists and shipping documents
  • Comparing important information across related documents
  • Identifying missing, inconsistent or unusual entries for review
  • Preparing a document-correction checklist
  • Drafting internal follow-up or buyer-collection messages
  • Summarising unresolved exceptions for management

The operating boundary

AI may read, extract, compare, draft, recommend and flag. Material outputs remain subject to human review and approval. AI does not independently approve transactions, determine legal or customs treatment, release payments, or submit information to banks, authorities or external portals.

AI work begins as a controlled pilot with defined inputs, test cases, approval points, audit records and a clear stop mechanism. Wider deployment follows only after the required accuracy, control and operating evidence has been established.

P·6

Commercial Process Improvement & Managed Revenue Assurance

Technology alone does not stop recurring leakage. Roles, handoffs, approvals, records and management routines also need to change.

RB helps translate the findings into practical operating improvements and, where commissioned, can support their continuing use through a managed review service.

Process improvement can include

  • Clear ownership across quotation, order, documentation, logistics, billing and collection
  • Redesigned handoffs and approval points
  • Standard operating procedures and exception playbooks
  • Management review routines
  • User training and adoption support
  • Control and escalation responsibilities
  • Measures for tracking whether the change is producing value

Managed assurance can include

  • Periodic exception-dashboard review
  • Follow-up on high-value unresolved items
  • Leakage and control-performance reporting
  • Monitoring of margin, logistics, documentation and collection exceptions
  • Maintenance of agreed rules and workflows
  • User support and refresher training
  • Quarterly review of recurring causes and improvement priorities

Management reporting can show

  • Leakage identified during the period
  • Value recorded as protected, recovered or still exposed, separated by evidence status
  • Margin deviations and logistics exceptions
  • Benefits or claims requiring action
  • Overdue collections and working-capital drag
  • Actions completed, overdue or awaiting management decision
  • Recommended changes to controls, data or workflow

From evidence to measurable improvement

  1. M·1

    Identify

Find recurring exceptions across the export transaction.

  2. M·2

    Quantify

Calculate historical or current exposure where the records support it.

  3. M·3

    Diagnose

Determine the process, data, ownership or control cause.

  4. M·4

    Design

Define the improved process, control and technology response.

  5. M·5

    Implement

Configure agreed data connections, workflows, alerts or supervised AI tools.

  6. M·6

    Operate

Assign responsibility, monitor exceptions and support timely action.

  7. M·7

    Improve

Measure outcomes and refine the system using operating evidence.

Not every engagement needs all seven stages. An exporter may begin with an audit, commission a focused implementation, or add managed assurance after the controls are operating.

What this work is designed to improve

The objective is not more software. It is stronger commercial control across the export transaction.

RB Altruistic provides commercial process, data, control and technology services. We identify evidence gaps and their possible commercial consequences, but we do not make customs, legal, tax, accounting or regulated financial determinations.

Any eligibility, origin, classification, compliance or statutory conclusion remains with the client and its appropriately qualified adviser or authority. Historical recovery and future savings are not guaranteed. Financial impact is reported only to the extent supported by the records made available and the assumptions agreed with the client.

Technology and AI implementations are separately scoped. Their performance depends on the quality and availability of client data, system access, user adoption and agreed operating controls. Material decisions and external submissions remain under authorized human control.

Start with evidence.

If recurring export exceptions are reducing margin, delaying cash or creating avoidable cost, begin by following the transaction from quotation through collection.
